Campus Cloud + Shape Integration for Shape Software Education CRM

Setting up Campus Cloud in Shape Software

If you are on the education template, field synchronization will automatically be established upon connecting the integration. If you have Campus Cloud customizations or Shape Software customizations, please let your Shape Software rep know about your customizations or reach out to our Support Team for help.


API Connection: As it applies to automatic general system configuration

For the Campus Cloud Integration, here's the information that we need to establish the Shape/Campus Cloud Connection:

  1. Campus Cloud API Credentials (Username & Password)

  2. Unique Institution URL

Once the connection is established, here's what goes on in the background automatically:

  • Once the Campus Cloud API Integration is connected, Shape will pull all of the Campus Cloud Status lists to the "Manage Statuses" settings page. Having the Campus Cloud status lists lists within Shape will be powerful to set up automated triggers and drip campaigns based off of these. This I think is where Shape can really shine to ensure student success.

    • Academic Status

    • Financial Aid Status

    • Admissions Status

  • Once the Campus Cloud API Integration is connected, Shape will pull all of the Campus Codes from Campus Cloud and populate the "Manage Campuses" settings page within Shape.

    • Campus Names + Codes will be added to the Shape "Manage Campus" Settings page. You will not be able to edit or remove Campuses or the Code. However, you will be able to change the friendly name as seen in Shape.

    • Here, you will also be able to put in your monthly targets for Marketing to appear on the "Marketing Dash"

  • Once the Campus Cloud API Integration is connected, Shape will pull all of the Enrollment Programs from Campus Cloud and populate the "Manage Enrollment Programs" settings page within Shape. This is where we store the campus

    • Enrollment Programs + Codes will be added to the Shape "Manage Programs" Settings page. You will not be able to edit or remove Enrollment programs or the Code. However, you will be able to change the friendly name as seen in Shape.

  • A Note Type will be added automatically to Shape labeled "Campus Cloud Activity" in the "Manage Note Types" settings page for activity tracking within Shape. This will not be able to be removed or edited.


API Connection: As it applies to the connection at work & every day activities

Once the Campus Cloud API Integration is connected, here's how the day-to-day integration functions:

  • New records will be added automatically in Campus Cloud from Shape

  • If records already exists in Campus Cloud and not in Shape with new API integrations, it will export records from Campus Cloud into Shape

  • Once the record exists in both systems, the record will be updated bi-directionally

    • Field synchronization

    • Status synchronization

    • Enrollment synchronization

  • Activity will be synced to Shape and Campus Cloud in the form of notes in the "Notes" Productivity Sidebar feature within each record with the note category "Campus Cloud Activity "

  • Documents will be synced from Campus Cloud into Shape. These will appear under the "Uploads" tab within Shape records.
