How Shape’s Referral Partner Portal Works With Your CRM
This video gives an overview of how referral partners use Shape’s Referral Partner Portal to log in, track the borrowers they’ve referred, and share updates directly with your team. The Partner Portal is a powerful relationship tool that keeps communication flowing and helps partners stay engaged throughout the borrower’s journey.
Signing In and Getting Started
Every referral partner you link inside Shape automatically receives a username and password for the Partner Portal. They can log in through the portal’s sign-in page or use the sign-up option if they haven’t activated their access yet.
Once they sign in, they see a clean list of all the borrowers they’ve referred. Each record is tied to them through the CRM, so everything the partner sees reflects real-time data from your system.
Viewing Referred Borrowers
When a partner clicks into one of their referred borrowers, they can see:
- The borrower’s current status
- Any outstanding document requests
- High-level file details
- Key milestones as the file progresses
This gives partners visibility into their referrals without needing constant check-ins from your team.
Shared Notes Between Partners and Your CRM
One of the most valuable parts of the Partner Portal is the notes feature. Partners can leave notes on any borrower they’ve referred. These notes:
- Appear instantly inside Shape
- Help your team stay in the loop
- Capture important updates or communication
- Reduce back-and-forth emails and texts
For example, if a partner writes “Just checking in,” that note appears directly in the borrower’s CRM record with the partner’s attribution.
Sending Notes From the CRM Back to the Partner
Communication works both directions. Your team can also send notes to the Partner Portal.
To do this, users simply select the Partner Note type when creating a note in Shape. Once saved, that note becomes visible inside the Partner Portal for the referring partner.
This makes it easy to:
- Acknowledge partner updates
- Provide status check-ins
- Share important borrower milestones
- Maintain a smooth communication loop
Both sides can see a complete history of shared notes, which keeps everyone aligned.
