Email templates in Shape let you prebuild the emails you send repeatedly so you can move faster without rewriting content. Instead of starting from scratch every time, you select a template, make quick adjustments if needed, and send. Templates can be used for one-off emails, bulk sends, and drip campaigns.

Basic and Advanced Email Templates

Shape supports two types of email templates. Basic templates are designed for quick, text-based emails that feel personal and are easy to edit. Advanced templates use a visual builder and are best for more structured, branded, or marketing-focused emails. Both template types work across manual emails, bulk sends, and automation.

Organizing Templates with Folders

Templates are stored in folders to keep everything organized as your library grows. You can create custom folders, rename them, reorder them, and move templates between folders in bulk. This makes it easy to separate follow-ups, announcements, holiday emails, and internal templates.

Creating and Editing an Email Template

When creating or editing a template, you define the core details that control how it’s used and who can access it. The template title is especially important because it determines how easily users can search and find the right email when sending.

Signatures, From Addresses, and Recipients

Templates default to using the assigned user’s email signature, but you can override this if an email should always come from a specific department or a company-wide signature. You can also control who the email comes from and who receives it by using tokens for users, co-borrowers, CCs, and BCCs.

Engagement Tracking and Footers

By default, email templates track opens and clicks so you can measure engagement. Tracking can be turned off for internal or system-only emails. You can also add a reusable footer that automatically appears whenever the template is used.

Advanced Email Builder

Advanced templates use a drag-and-drop layout builder that’s ideal for marketing emails and announcements. Content blocks make emails responsive and visually structured without requiring design or coding expertise, while still supporting full HTML editing for advanced users.

Sending and Testing Templates

Templates can be sent anywhere you see an email icon in Shape, including manual sends, bulk actions, and drip campaigns. Before sending, you can preview the email, select a signature, and send a test using a real record to ensure all tokens populate correctly.
