Text and MMS templates in Shape allow you to prebuild messages you send repeatedly so you don’t have to type them out every time. When sending a text, you can quickly search for a template by keyword, select it, make small edits if needed, and send. This keeps outreach fast while still feeling personal.
Using Text Templates While Messaging
When sending a text, templates are available directly inside the message composer. You can search by keyword, preview the message, and insert it instantly. Templates are flexible, so you can edit wording before sending without changing the original template.
MMS Templates for Images and Media
MMS templates allow you to send images, videos, or files without manually uploading them each time. Instead of browsing your computer, you can select an MMS template and send it immediately. This is especially useful for branded images, promotional graphics, or commonly shared documents.
Managing Text and MMS Templates
All text and MMS templates live in Settings under Templates and Resources. Shape includes ready-to-use templates out of the box, and you can freely duplicate, edit, or delete them. You can also create your own templates to match your specific messaging needs.
Creating a New Text Template
When creating a text template, you define how it’s organized, who can access it, and what message it sends. Template titles are important because they make templates easy to find during live conversations.
You can configure:
- Template title and folder
- Visibility by role or user type
- Message content
- Token-based personalization
Personalizing Texts with Tokens
Tokens allow text templates to dynamically pull data from the record you’re messaging. This lets you personalize texts at scale without manual effort. Tokens should be used naturally so messages still feel conversational.
Common token examples include:
- First and last name
- Loan or application details
- Assigned user information
- Contact phone numbers
Emojis and Message Tone
Text templates support emojis and GIF-style content to keep messages friendly and engaging when appropriate. These elements are optional and can be added directly within the template to match your brand voice.
Send Settings and Message Routing
Each template includes send settings that control who the message comes from and who receives it. By default, texts send from the assigned user to the primary contact, but tokens allow you to route messages to co-borrowers, referral partners, or other related contacts when needed.
Creating MMS Templates
MMS templates are simpler than text templates and focus on media delivery. You assign a title, set visibility, upload the image or file, and define send settings. Once saved, the template is available anywhere MMS messages can be sent.
