Inbound Voicemail Recordings in Shape
Inbound voicemail recordings allow you to upload custom voicemail greetings for calls that come into your Shape phone numbers. If you are unavailable because you are already on a call, in a meeting, or away from your desk, callers will hear the greeting you have configured instead of a generic voicemail message.
Inbound Voicemail vs Outbound Voicemail Drop
Inbound voicemail recordings are used for incoming calls when someone reaches your voicemail. Outbound voicemail drops are used when you leave a pre recorded voicemail for a contact during an outbound call.
Inbound voicemail recordings control what callers hear when they reach your voicemail, while outbound voicemail drops control what your contacts hear when you leave them a message.
Uploading Inbound Voicemail Recordings
Inbound voicemail recordings can be uploaded from different areas depending on permissions.
User Profile
- Open your profile
- Navigate to the Phone section
- Upload a voicemail greeting using drag and drop
Admin Settings
- Navigate to inbound voicemail recordings in settings
- Upload recordings that can be reused across call routes
- Preview recordings using the three dot menu
Recordings uploaded here can be reused across multiple inbound call routes.
Assigning a Voicemail Greeting to a Call Route
Voicemail greetings are assigned within inbound call routing rules.
- Navigate to Inbound Call Routing
- Open an existing call route or create a new one
- Scroll to the Missed Call Settings section
- Select the voicemail inbox message you want to use
This determines which greeting plays when a caller reaches voicemail for that number.
Using IVR Menus with Inbound Voicemail
Inbound voicemail recordings can also be used as IVR greetings with button press options.
- Upload or select an inbound voicemail recording
- Assign it as a call greeting
- Define keypad selections such as press 1 or press 2
- Route each selection to a specific user, team, or department
This allows callers to route themselves to the correct destination based on their selection.
