Learn how teams work in Shape and how users collaborate across roles.
This video explains how notification templates work in Shape and how they allow you to replace default system notifications with custom messaging. These templates help ensure important alerts match your branding, language, and internal processes.
Notification templates override the default emails Shape sends when specific events occur in the system. Depending on your industry template, some notifications may already exist, but you can edit or create new ones to better align with how your team communicates.
New templates can be created directly from the notification templates page. Each template is given a clear title and built using a simple editor that allows you to fully customize the message content.
These dynamic values are added using merge tokens so the message automatically personalizes itself for each event.
Each template must be tied to a specific notification type. This tells Shape exactly when the template should be used and which default message it should replace.
Once assigned, the custom template is triggered automatically whenever that event occurs.
After a template is saved and assigned, Shape will use it instead of the standard system notification going forward. No additional setup is required, and existing workflows continue to function normally with your customized messaging in place.
Notification templates control how users and contacts are alerted when key activity happens. Customizing these messages improves clarity, reduces confusion, and ensures notifications reflect your brand and internal expectations instead of relying on generic system defaults.
Changing templates will take time and may require a template change fee.
