Outbound voicemail drop allows you to leave pre recorded voicemails during outbound calls without staying on the line. This is especially useful for teams making a high volume of calls and frequently reaching voicemail.
What Outbound Voicemail Drop Does
Instead of repeating the same voicemail message throughout the day, users can upload a pre recorded voicemail and drop it directly into a contact’s voicemail inbox. When the voicemail is dropped, the call ends immediately so you can leave notes and move on to the next call while Shape finishes playing the recording for the recipient.
Where to Upload Voicemail Recordings
Voicemail recordings can be uploaded in two different areas depending on permissions.
User Profile
- Navigate to your profile
- Open the Phone tab
- Scroll to Pre Recorded Voicemail Drop
- Upload an MP3 file
Settings for Admins
- Open Settings
- Navigate to Outbound Voicemail Drop
- Upload and manage voicemail recordings
Recordings must be in MP3 format to ensure proper playback across carriers.
Converting Voicemail Files to MP3
If your voicemail recording is in MP4 format, it will need to be converted before uploading. This can be done quickly using an online MP4 to MP3 converter. Once converted, the MP3 file can be uploaded directly into Shape.
Reviewing and Managing Voicemail Files
Uploaded voicemail files can be previewed to ensure audio quality and correct formatting.
From the voicemail drop page, you can:
- Play recordings
- Download files
- Confirm audio clarity before use
This helps prevent issues during live outbound calling.
Dropping a Voicemail During a Call
When making an outbound call, the voicemail drop option becomes available once the call reaches voicemail.
As soon as you hear the voicemail beep:
- Select the voicemail drop button
- Choose the recording you want to use
- The call ends automatically
- The voicemail continues playing in the recipient’s inbox
You can immediately leave call notes and proceed to your next call.
