Shape includes a built-in calendar and shared calendar view to make scheduling and event management simple across your team. Depending on your role and permissions, you can view your own calendar or multiple users’ calendars at once.
Accessing the Calendar
You can access the main calendar by hovering over and clicking the Calendar area in the navigation.
- Admin users can view multiple users’ calendars at once
- Standard users may only see their personal calendar
- Visibility depends on role permissions set in Settings
This flexibility ensures users only see what they are allowed to access.
Creating Calendar Events
Adding a calendar event in Shape is quick and flexible.
You can create events by:
- Clicking directly on a day in the calendar
- Creating an event from a lead list view
- Adding events from inside a contact record
When created from a record or list, the event is automatically associated with that contact and assigned to you by default.
Calendar Events Inside Contact Records
Each contact record includes a Calendar tab that filters events tied specifically to that individual.
This allows you to:
- View all past and upcoming events with that contact
- Keep scheduling history organized in one place
- Avoid searching across the full calendar
Syncing Your Calendar with Google or Outlook
Shape can sync directly with Google Calendar or Outlook.
To connect your calendar:
- Click your profile picture
- Open Profile Settings
- Navigate to the Email and Calendar tab
- Select Google or Outlook and complete the connection
You can choose between one-way sync or bi-directional sync, with bi-directional being the most commonly used option.
Syncing Existing Calendar Events
Once your calendar is connected, you can sync existing events into Shape.
- Use the Sync button inside the calendar
- Review pending events before syncing
- Imported events will align with your external calendar
This ensures Shape stays fully aligned with your daily schedule.
Viewing Multiple Calendars
Shape allows you to view multiple users’ calendars in a single view if you have permission.
This is helpful when:
- Checking availability across team members
- Coordinating meetings or appointments
- Managing shared scheduling workflows
You can also toggle views to focus on a single calendar if needed.
