Configuring User Permissions to your Reporting Pages​

Manage access to your system reporting pages and analytics through Report Access Permissions. Define what admins, directors, managers and basic users can see in their “Reports” section. Utilize the check boxes on this page to determine what User roles (user, manager, director, admin, portal user, partner user, and member user) have access to the pre-built reports in your system including Outgoing Email Performance, Record Conversion Report, All Records Report, and many many more!

As a general rule, what users have the ability to see within the reports is defined by the Record Visibility by Role settings page. For example, regular users have the default setting to only see their assigned records, so if they were to pull a custom report, they can only report on the data based on the records assigned to them, they cannot pull reports across all system data.

Adjusting Report Access

Start by clicking on “Settings” and then “Users & Permissions” dropdown to find the “Report Access Permissions” settings page.

Frequently Asked Questions

Permissions cannot be limited to a specific user and will be limited across all users in that role.

So if you turn off the Outgoing Email Report for 1 Manager, then that report will not be available for all users in the Manager role.

Currently in Shape, there is not a method for limiting a user’s access to their user profile as this contains their personal contact information, profile picture, and their email integration through Outlook or Gmail.
